Membership Policy

AzOTC Membership is established on an annual basis. All renewal dates will be October 1. New members will pay a prorated membership fee for the first year; the amount depending on the time of year the membership begins. See the newsletter for more information. Annual membership dues will then be due of October 1 for each subsequent year. May all members be reminded that the AzOTC is a non-profit club operated for the benefit of the members and community. Your active participation is most desired and continually encouraged.

Guest Policy

We welcome guests! Please give us a try! Guests are permitted to attend three General Meetings at no cost.

We encourage guests to participate in activities (rules and space permitting). Non-members will be charged $5.00 for all activities that are free to members. Selected activities are open to members only. For paid activities, non-members will be assessed an additional fee based on the cost of the activity. Guests must sign a liability release and be aware of the ACTIVITY RATING GUIDE. Guests must call leaders before participating in any AzOTC activity.

Activity Policy

  • Activity write-ups must go through the appropriate coordinator and are due at the General Membership Meeting.
  • All activities will have a $5.00 guest charge for non-members. Sign up sheets and monies should be turned into the Treasurer or Activities Chairperson.
  • A payment request for expenses related to an activity must first be approved in writing by the Activities Chairperson prior to submission to the Treasurer.

Carpool Policy

On a vehicle by vehicle basis:

  • Each vehicle will begin with a full tank of gas. If a driver does not have a full tank at the beginning of the event, s/he will fill it up at the nearest station.
  • Driver, only, does not pay for gas.
  • The actual cost of gas is divided by the number of passengers in a vehicle at each gas stop, which includes the last gas fill up at the end of the trip.
  • The trip leader will identify the driving vehicles and the number of passengers per vehicle.

Refund Policy

Cancellations require a forfeiture of deposits unless:

  • Cancellation is made prior to refund cut-off date.
  • Trip leader fills space from a waiting list.
  • Person canceling provides a replacement.
  • AzOTC cancels the trip.

A minimum amount, equivalent to the AzOTC surcharge, is assessed for cancellation. Switching is considered canceling the original trip. Cancellations after refund deadlines established for the trip require forfeiture of stipulated amounts should cancellation:

  • Increase the cost to the remaining participants.
  • Require use of AzOTC funds to subsidize the trip.
  • Jeopardize the completion of the trip.

The AzOTC imposed cancellation fee and forfeiture of funds already paid shall apply regardless of reasons for cancellation. Should cancellation result in a related partial or whole refund from a third party agreement, an amount equal to the refund from the third party, less the nominal cancellation fee, shall be refunded to the canceling party. No refunds will be made for “no shows”.
A trip reservation on behalf of AzOTC constitutes payment of a deposit. Sign ups without deposits are considered interest only and go on a waiting list.
The waiting list priority shall be as follows:

  • Members with a deposit
  • Non-members with a deposit (if trip costs over $100 the participant must be a member)
  • Members without a deposit

Board Meetings

Board meetings are generally held during the third week of each month.
